Comparing builder quotes:
look beyond the total.

A useful comparison explains what each price buys, what is still uncertain and what you need to clarify before choosing.

When two proposals arrive at different prices, it is tempting to treat the difference as a saving. First, establish whether the builders have priced the same work, using the same information and assumptions.

Give each builder the same starting point.

Record the drawing versions, specification, reports and written instructions issued for pricing. When a question changes the scope, share the clarification with everyone involved in the comparison.

Otherwise, one builder may include work that another has excluded, and the totals will tell you very little about value.

Make exclusions visible.

Create a comparison schedule with a row for each major part of the work. For each proposal, record whether the item is included, excluded, allowed for or unclear.

Pay particular attention to site preparation, access, services, external works and anything described as “by owner” or “by others”. The useful question is who will deliver and pay for each part of the completed project.

Understand allowances and assumptions.

An allowance is a number that needs context. Ask what quantity, product or scope it assumes, how it was established and how a change would be handled.

Keep these questions in writing. Do not assume two identical-looking allowance amounts represent the same specification.

Discuss the delivery approach.

  • Who will be your day-to-day contact?
  • What is the proposed sequence and timing?
  • Which information or selections are needed before work begins?
  • How will questions, changes and decisions be recorded?
  • What relevant completed work can you inspect or discuss with previous clients?

Check current licence and insurance details through the appropriate official sources for the project’s jurisdiction. Contract terms and your legal obligations should be reviewed by a suitably qualified legal adviser where needed.

Compare the clarified position.

After the questions are answered, update the comparison. Separate confirmed prices from unresolved items and explain the trade-offs. A recommendation should show its reasoning, not just identify the smallest number.
